Instruction for Oral Session Chairs
Each Oral Session has 4-6 speakers, each with STRICTLY 8+2 minutes. Oral Session speakers use their own laptop for the presentation. They are required to arrive 30 mins before the session and test their laptop connection with a student volunteer.
Before the session, arrive at least 10 minutes earlier and get to know all speakers. Check they have all tested their laptops.
The 2 minutes between talks are essential to switch laptops. Therefore, immediately after the 8 minute presentation you should invite the next speaker to connect the laptop, before inviting questions. Then invite questions; if none, ask one your own question; if too many, refer to the poster sessions or contacting the speaker directly.
The 8 minutes are a strict limit for the presentation. Here are suggestions to enforce this:
Raise a ‘2 minutes’ sign to the speaker 2 minutes before the end.
Get on stage (on the side) 30 secs before the end and raise the ‘30 secs’ sign (if the speaker is not already concluding).
At the end of the time, center on stage and – if necessary – interrupt gently to enforce conclusion and invite the next speaker to connect the laptop.
Then invite questions.
If there are unexpected technical issues (e.g. the projector does not work for a particular presenter), consider swapping the order of the presentations so that the presenter and the student volunteers can have a chance to fix things offline.
